Additional Requirements for Events with an Admission Charge

When tickets are sold to an event, or there is any kind of admission charge for the event, additional requirements, as listed below, apply. 

There must be a cut-off time for ticket sales. Generally, this is 90 minutes before the end of the event. Guests arriving after the cut-off time will not be admitted.

Tickets must state the same event start and end times as the rental contract.

No more than 600 guests will be admitted, including those who leave.

If a live band will perform, female and male security staff must be present to check for off-site alcoholic beverages and weapons.

One additional security staff is required to supplement the standard security of one security staff per hundred guests.

If alcoholic beverages will be sold, one Montgomery County, Maryland, police officer must be present per 300 guests, or any portion thereof, for four hours prior to one-half hour after the end of the event. For example, if the event ends at 3 am, the officer(s) must be present from 11:30 pm until 3:30 am.  The cost, payable in cash directly to the police officer(s), is $240 per officer ($60 per hour, 4-hour minimum). Hollywood Ballroom will find suitable officers for you, but it makes no profit from this

If alcoholic beverages will be sold, unless other terms are agreed to, the cost of alcoholic beverages to you is 40 percent above wholesale. You may then sell such beverages at prices of your choosing, under control of Hollywood Ballroom staff.

Security Deposit.  The security deposit will be $1500 for ticketed events.

If Hollywood Ballroom deems that other provisions are needed to ensure the safety of patrons or the favorable outcome of an event, those requirements will be communicated to the renter on a case-by-case basis.

Safety at Hollywood Ballroom is paramount, which is why the above is required.

Rental Rates and Important Information

BASE RENTAL RATES for the Main Ballroom on Saturdays (includes the studio)

SATURDAY BASE PRICE – $3000, plus staffing and security.
Base rental times are from 6 pm until midnight, with set-up time starting at 3:00 pm.
Friday and Sunday nights are not available for rental as public dances are held on those nights.
Weekday evenings are also not available because of regularly scheduled dance lessons.

STAFFING AND SECURITY – $150 per hour, per every 100 guests.
Example: Staffing and security for 300 guests for 6 hours = $150 x 3 x 6 = $2,700
The total rental cost is $5,700.
Support staff is provided during setup time of three hours at no additional charge.

OTHER FEES and REQUIREMENTS

(1) Cost for additional event time (late):  $700 from 12 midnight to 1:00 am,

plus additional late Staffing & security of $200 per every hundred guests

(2) Cost for additional event time (very late):  $800 from 1:00 am to 2:00 am,

plus additional very late Staffing & security of $250 per every hundred guests

(3) Cost for additional event time (extra late): $900 per hour from 2:00 am to 5:00 am,

plus additional extra late Staffing & security of $300 per hour per every hundred guests

Additional Set-Up time (if available):  $200 per hour

Practice or rehearsal time for weddings and Quinceañeras: $100 per hour

Alcoholic beverage licensing charge: $100 

Additional security charge, when applicable: $200

Additional table and chair rental charge for guest counts over 300: $3.50 per guest

OTHER ITEMS

Sound system: $100

Wall-washer lights:  $75

Overhead projector and screen: $75

Portable Stage, up to 192sq.ft., with 8 or 24 inch riser: $250

OTHER IMPORTANT INFORMATION

TIME ALLOWED FOR EVENTS on Saturdays

Prices on Saturdays are based on a 6 hour event (6 p.m. to 12 midnight) with 3 hours of setup time before the start of the event included.

RENTALS ON WEEKDAYS
The Ballroom is available to rent during the day on Mondays, Tuesdays, Wednesdays, and Fridays until 6 pm.

RENTAL DEPOSIT DUE AT CONTRACT SIGNING
$1000 is required at contract signing to secure your date. This rental deposit is non-refundable.

FINAL PAYMENT
Final payment is due three weeks prior to your event.

SECURITY DEPOSIT
A $1000 security deposit is required (paid at final payment) which is refunded to you within ten days after your event assuming there are no damages or excessive attendance.

The Ballroom is generally available for rent during evening hours only on Saturday nights. The Ballroom is never available Sunday nights, as a public dance is held then. The Ballroom is generally not available to rent on Friday nights, as a public dance is held then, but there are some Friday night exceptions that will be listed below when they are known to be available.
